Job Summary: As the Office Manager, you will oversee the administrative functions of our company, providing essential support to our team and ensuring efficient operations. From managing schedules and coordinating meetings to handling correspondence and maintaining office supplies, you will be the backbone of our organization, fostering a productive and collaborative work environment.
Key Responsibilities:
• Maintain office services by organizing office operations and procedures.
• Manage schedules, appointments, and travel arrangements for team members.
• Coordinate and schedule meetings, including preparing agendas and taking minutes.
• Handle incoming calls, emails, and other forms of communication, directing them to the appropriate parties.
• Manage office expenses and budgets, including procurement of office supplies and equipment.
• Ensure the office environment is clean, safe, and well-maintained.
• Assist in HR-related tasks such as onboarding new employees, maintaining employee records, and coordinating staff events.
• Oversee and support administrative staff, providing guidance and training as needed.
• Collaborate with other departments to streamline processes and improve overall efficiency.
• Implement and maintain effective filing systems, both physical and digital.
• Handle confidential and sensitive information with utmost professionalism and discretion.
Job Skills and Qualifications:
• Proven experience as an office manager or in a similar administrative role.
• Strong organizational and multitasking abilities, with excellent attention to detail.
• Exceptional written and verbal communication skills.
• Proficient in using office software such as Microsoft Office Suite and collaboration tools.
• Ability to prioritize tasks and work under tight deadlines.
• Demonstrated problem-solving and decision-making skills.
• Knowledge of office management systems and procedures.
• Experience in overseeing office budgets and expenses.
• Ability to maintain confidentiality and handle sensitive information with discretion.
• Positive attitude, team player, and proactive approach to work.
